Question 1

What is AI-Assist for SMEs?

Accepted Answer

AI-Assist for SMEs is an all-in-one AI automation platform built specifically for UK small and medium businesses. We provide AI chatbots, lead management, email sequences, appointment scheduling, and workflow automation — all set up and managed for you, with no technical knowledge required.

Question 2

How long does it take to get set up?

Accepted Answer

Most businesses are live in under 30 minutes. Setup is self-serve: you paste in your website address, we build the AI from it, and you copy one snippet onto your site. If you would rather be walked through it, the founder runs a free setup call — just ask.

Question 3

Do I need any technical skills?

Accepted Answer

No. Setup is self-serve and designed for non-technical people: paste in your website address, check the answers, and copy one snippet onto your site. If you get stuck, email us and the founder will help.

Question 4

How does the AI chatbot work?

Accepted Answer

Our chatbot is powered by advanced AI, trained on your specific business information — your services, pricing, FAQs, and policies — so it can answer customer questions accurately 24/7. You can update the knowledge base at any time from your dashboard.

Question 5

Will the chatbot always give correct answers?

Accepted Answer

The AI performs very well for the vast majority of questions it is trained on. However, AI can occasionally misinterpret questions or produce inaccurate responses. We strongly recommend reviewing chatbot conversations regularly and updating your knowledge base to improve accuracy. For critical or complex queries, the chatbot can be configured to escalate to a human.

Question 6

Can the chatbot book appointments for my customers?

Accepted Answer

Yes. Once you switch on booking for your assistant, the chatbot can check availability and book appointments directly in your calendar — our own native booking handles scheduling end to end, and it syncs with your Google Calendar. It works on all our paid plans (each plan has its own monthly appointment allowance — see the pricing page).

Question 7

Can I customise what the chatbot says?

Accepted Answer

Absolutely. You control the chatbot's knowledge base, personality, and the topics it covers. You can add, edit, or remove information from your dashboard at any time.

Question 8

What languages does the chatbot support?

Accepted Answer

The chatbot primarily operates in English. For multilingual support requirements, please contact us to discuss your options.

Question 9

How do I add the chatbot to my website?

Accepted Answer

After your chatbot is configured, we provide a simple embed code snippet — a single line of JavaScript. You or your web developer paste it into your website's HTML, usually before the closing tag. We can also assist with installation on popular platforms like WordPress, Wix, and Shopify.

Question 10

Can you connect to my existing CRM?

Accepted Answer

Yes. Via Zapier we can connect to most CRM systems including HubSpot, Salesforce, Zoho, and Pipedrive. We can also set up direct webhooks for more advanced integrations. Contact us to discuss your specific setup.

Question 11

Do I need to change my website?

Accepted Answer

For the chatbot, only a single embed code needs to be added — your site otherwise remains unchanged. For booking pages, we can either integrate with your existing site or provide a standalone booking link.

Question 12

How does billing work?

Accepted Answer

Subscriptions are billed monthly in advance via Stripe. You can cancel at any time, and your access continues until the end of the paid period. There are no long-term contracts.

Question 13

Can I change my plan?

Accepted Answer

Yes. Email info@aiassistsmes.co.uk and we'll change your plan for you. Self-serve plan changes from your dashboard aren't available yet.

Question 14

Do you charge VAT?

Accepted Answer

The price shown at checkout is the total you pay. We don't add VAT or any other tax on top. If that ever changes, we'll tell you at least 30 days before it affects what you pay, and you can cancel before then.

Question 15

What is your refund policy?

Accepted Answer

You can cancel free during the trial, and within 14 days of your first payment for a full refund. After that, payments aren't refundable except as our Refund Policy explains. Your statutory rights aren't affected.

Question 16

Is my data secure?

Accepted Answer

Yes. All data is encrypted in transit (TLS) and at rest. Your data is stored with Supabase (EU region), whose platform maintains SOC 2 compliance. AI-Assist itself does not yet hold its own SOC 2 attestation — see our Security page for our current measures and roadmap. We never sell your data to third parties.

Question 17

Who processes my customers' data?

Accepted Answer

When your customers interact with your chatbot, their messages and any personal details they share are processed by us on your behalf — we act as your data processor and you remain the data controller. You are responsible for having appropriate privacy notices on your own website.

Question 18

Where is my data stored?

Accepted Answer

Your account data is stored on EU-based servers. AI processing uses Anthropic's API, which may process message content in the USA. Anthropic operates under appropriate data transfer safeguards. For full details, see our Data Processing Agreement.

Question 19

How long do you keep my data?

Accepted Answer

For as long as you have an account, including after a paid plan ends. You can download a copy of your data or delete your account at any time from Settings, or by emailing info@aiassistsmes.co.uk. Deletion is immediate; our Privacy Policy explains the few records we must keep.

Question 20

What support do I get?

Accepted Answer

All plans include email support at info@aiassistsmes.co.uk and onboarding help from the founder on request. We aim to reply to every email within 1 working day.

Question 21

How do I get help if something goes wrong?

Accepted Answer

You can contact us at info@aiassistsmes.co.uk or use the support form in your dashboard. You can also check our System Status page for any known outages.

Question 22

Can you train my staff on the platform?

Accepted Answer

The platform is designed to be self-explanatory, and our User Guide covers each feature step by step. If your team needs a hand, email us and the founder can walk you through it.
