Most clients are fully live within 1–2 weeks. After you sign up, our team contacts you within 1 business day to schedule your onboarding call. We handle all the technical setup, train the AI on your business, and test everything before going live.

Do I need any technical skills?

No. Our service is completely done-for-you. We handle the setup, configuration, and ongoing management. You simply log into your dashboard to view leads, conversations, and analytics.

Our chatbot is powered by advanced AI, trained on your specific business information — your services, pricing, FAQs, and policies — so it can answer customer questions accurately 24/7. You can update the knowledge base at any time from your dashboard.

Will the chatbot always give correct answers?

The AI performs very well for the vast majority of questions it is trained on. However, AI can occasionally misinterpret questions or produce inaccurate responses. We strongly recommend reviewing chatbot conversations regularly and updating your knowledge base to improve accuracy. For critical or complex queries, the chatbot can be configured to escalate to a human.

Can the chatbot book appointments for my customers?

Yes. On Professional and Enterprise plans, the chatbot can check availability and book appointments directly in your calendar — our own native booking handles scheduling end to end, and it syncs with your Google Calendar.

Can I customise what the chatbot says?

Absolutely. You control the chatbot's knowledge base, personality, and the topics it covers. You can add, edit, or remove information from your dashboard at any time.

What languages does the chatbot support?

The chatbot primarily operates in English. For multilingual support requirements, please contact us to discuss your options.

How do I add the chatbot to my website?

After your chatbot is configured, we provide a simple embed code snippet — a single line of JavaScript. You or your web developer paste it into your website's HTML, usually before the closing tag. We can also assist with installation on popular platforms like WordPress, Wix, and Shopify.

Can you connect to my existing CRM?

Yes. Via Zapier we can connect to most CRM systems including HubSpot, Salesforce, Zoho, and Pipedrive. We can also set up direct webhooks for more advanced integrations. Contact us to discuss your specific setup.

Do I need to change my website?

For the chatbot, only a single embed code needs to be added — your site otherwise remains unchanged. For booking pages, we can either integrate with your existing site or provide a standalone booking link.

How does billing work?

Subscriptions are billed monthly in advance via Stripe. You can cancel at any time, and your access continues until the end of the paid period. There are no long-term contracts.

Do you charge VAT?

Our prices do not include VAT. AI ASSIST SMES LTD is not currently VAT-registered, so we do not add VAT to your invoices. If we become VAT-registered in future, VAT will be shown as a separate line item and we will let you know before it applies.

What is your refund policy?

We offer a 14-day cooling-off period on first purchases under UK consumer law. After that, subscription payments are non-refundable. See our full Refund Policy for details.

Is my data secure?

Yes. All data is encrypted in transit (TLS) and at rest. Your data is stored with Supabase (EU region), whose platform maintains SOC 2 compliance. AI-Assist itself does not yet hold its own SOC 2 attestation — see our Security page for our current measures and roadmap. We never sell your data to third parties.

Who processes my customers' data?

When your customers interact with your chatbot, their messages and any personal details they share are processed by us on your behalf — we act as your data processor and you remain the data controller. You are responsible for having appropriate privacy notices on your own website.

Where is my data stored?

Your account data is stored on EU-based servers. AI processing uses Anthropic's API, which may process message content in the USA. Anthropic operates under appropriate data transfer safeguards. For full details, see our Data Processing Agreement.

How long do you keep my data?

We retain your account data for the duration of your subscription plus 30 days after cancellation, after which it is permanently deleted. You can request a data export or deletion at any time by emailing info@aiassistsmes.co.uk.

All plans include email support at info@aiassistsmes.co.uk. Professional and Enterprise plans include priority support and a dedicated onboarding call. Enterprise clients also receive monthly review sessions.
